Transpyr Gran Raid MTB 2017 Regulations

The organization can publish modifications to this regulation that complement or modify it retroactively.

DEFINITION

  1. TRANSPYR GRAN RAID MTB 2017 is considered a mountain bike sport event consisting in a personal challenge in format of mountain bike stages raid wich join the Mediterranean sea witht the Atlantic Ocean along the Pyrenees. This is an event with use of public areas not altered and open traffic, and subject to the fulfilment of the different territories regulations.
  2. TRANSPYR 2017  will be held from the 11h to 17th June 2017 in 7 different stages and approximately 800 km and 20.000 meters gain.
  3. Transpyr 2017 is a brand and a sport event from ANAYET SPORT MARKETING wich can count on the support of entities and associated companies for its development.

PARTICIPATION

  1. Participants must be at least 18 years on the first day of the event. For the whole rules and regulations, a participant is considered an individual person who is part or not of a team registered in TRANSPYR 2017.
  2. Any person registered in TRANSPYR 2017 should be in possession of a medical and liability insurance as determined by spanish law for this type of event.  For reasons of liability and safety, it will not be accepted to start TRANSPYR 2017 to any registered person who is not covered by this compulsory insurances. The organizer can provide this insurances.
  1. Participation in TRANSPYR 2017 in GRAN RAID MTB modality (7 stages) is in teams of 2 or 3 people, or individual. In case of team participation, changes on teams composition will not be possible. During the event changes may not take place except in case one of the components leaves and the other component wish to continue. In this case, the participant who wants to continue individually, must rent a GeoLocatosr at the Race Office in order to be allowed to pursue. being allways recommended to ride accompanied.
  2. For security reasons, the members of each team must ride together and shall maintain visual contact between them. Failure to do so may lead to expulsion from the event. The organization can set up a separation time limit within the members of one team.

In case of individual participation, the rider will have to be equipped with a geo localization device wich will be provided by the organisation, at the agreed price,  and wich will have to be active during all the route.

  1. Participants need to be physically fit. Participants are responsible for ensuring they start the event in an appropriate physical condition. Individuals suffering from a pre- existing medical condition may be prevented from participation if the organizers believe the nature of the event may pose a health risk to the participant. Participants will have to submit the medical certificate form (in their “PARTICIPANT AREA”) properly filled and signed by a doctor.
  2. Participants must be able to achieve a minimum average speed of 10 kilometres per hour for the entire stage (including stops).
  3. Any rider in TRANSPYR 2017 must complete the course with their own means, this is, pedalling on the bike, carrying it or walking at his side. Any external help especially if is powered by mechanical drive means can lead to expulsion from the event.

EQUIPMENT

  1. It is compulsory to correctly wear approved cycle helmets. Failure to follow this rule will lead to the expulsion from the event.
  2. All participants have to use a mountain bike in good condition. This mountain bike wheels may be 26, 27,5, 27,5 plus or 29 inches, rigid or full suspension, but in no case have such aid to electric assist cycling. To assist with security and control the organizers may take a picture of the bicycle of each participant. Only in exceptional circumstances will participants be allowed by the sports manager to change their bicycle during the event.
  3. Each participant must carry always the following compulsory equipment: approved helmet for cycling practice, water deposit “Camelback” or similar with at least one litter of liquid on the start of each stage, GPS device with enough batteries and spare batteries, thermal first aid blanket, mobile phone with battery charged, participant accreditation and road book with emergency numbers. This baggage can be checked randomly at the beginning of each stage and participants may randomly get checked at the checkpoints. There may be other material and equipment that the organization determines to be required for certain stage this will be communicated the day before.

Since the participant is always subject to the rules of the open traffic from Catalunya, Aragón, Navarra and Euskadi, as well as a part of south France, it is the responsibility of the participant to know and meet these rules and its foremost consequences in terms of equipment, behaviour etc. (e.g., lighting when riding inside tunnels).

 

  1. Each participant must carry a GPS device that works correctly and displays the route provided by the organization allowing to clearly following the track while riding. The use of base mapping is not mandatory but is recommended. The GPS device must be configured to record compulsory tour conducted each stage, with a minimum of 50 meters, and have the autonomy needed to cover the whole stage. This aspect is crucial because the organization must be able to verify, at will, following the exact preset tour by any participant.
  2. It is compulsory to wear the race number or the regitration identification visibly on the front of the bike or where the organization determines .

ROUTE

  1. The route will consist of approximately 800 km split in different daily stages and with nearly 20,000 m of climbing ascent. The estimated difficulty is very high.
  2. The organisers reserve the right to alter split and altitude of the route if necessary to ensure the safety of competitors. Any changes will be advised to participants at the event briefing the evening before the stage affected.
  3. To complete the route each participant will need and will have to carry a GPS device. The organization will deliver the corresponding track in order to follow each stage route. The organization may display complementary on route signals where necessary upon his criteria. The GPS device must be in perfect condition and will set mandatory to record the route taken for each stage, with a minimum frequency of 50 meters.
  4. The route, and therefore the track are confidential until the start of the event. The organization is not responsible for whatever activity following the very same route of any of the options of TRANSPYR 2017 performed by individuals or any organization, corporation.
  5. The organization will inform the participants via its website about the process to distribute the track.
  6. TRANSPYR 2017 travels trough valuable natural areas, so it is obligatory to respect the natural environment. Driving on roads and pathways outside the range provided by the organization and any environmentally incorrect behaviour or not to follow the instructions on the organization’s environmental subject may lead to penalties and even exclusion of the event at the discretion of the organization. Environmental measures can address the need to walk for some meters.
  7. The event is subject to differnet laws and regulations. Therefore, the participant must respect the traffic regulations and the organization orders given either by fixed or local partner identified as such, as well as law enforcement if any, being himself the only responsible of indiscretions and offenses committed, fully exonerating the promoter and the organization of the costs and damages they cause their actions. The breach of the Highway Code and the directions of the organization are considered a very serious offense. Also, generally, spaces and places which the participant go through, are subject to their usual practice, public, restricted or private, and must be respected at all times by the participants.
  8. In general, the organization cannot attend or be responsible for any participant to circulate out of the track provided by the organization.

TRACK VALIDATION

  1. Organizers may at any time and at its discretion validate the route travelled for any participant by checking the logged track on their GPS device, thus all participants have to accept the possibility of having to let their GPS to the organisers for this purpose. To do so each participant should make sure that its GPS unit is set to record the route at the start of each stage, with a minimum frequency of 50 meters, and it has the autonomy necessary to cover the whole stage.
  2. The organization, additionally, reserves the right to record the model and serial number and / or seal of those GPS devices in order to preserve the validity of the route travelled.
  3. If a participant loses the GPS unit or for any reason this not record the distance travelled, his team must to be able to demonstrate that the official travel established by the organization is done, being able to use the registry in controls step to that end. In any case the organization will have the last word to see if this participant can be TRANSPYR GRAN RAID MTB 2017 FINISHER.

EVENT DEVELOPMENT

  1. Participants of the TRANSPYR GRAN RAID MTB 2017 should be in Roses the day before the start to register. The time and place will be communicated by the organization through the official website (www.transpyr.com).
  2. The event will be officially closed when the last participant has reached the very finish line and after the Finisher tricot ceremony. The organization reserve the right to change these times and locations.
  3. At the end of each stage except the last, the organization will convene a technical meeting or briefing for participants… Although the organization cannot force the participants intended to be present at the daily briefings at the end of each day, participants should consider these meetings with the organization as compulsory attendance. The organization will not assume responsibilities arising from the non-attendance of participants at a briefing.
  4. The departure time of all stages will be decided by the organization. The organization shall establish a checking schedule before starting each stage, to help ensure compliance with established schedules. The organization will review the equipment required of each participant and collection of personal route card, subjected to the signature of the participant. The participant is responsible for knowing their personal time-out control from for each stage.

TIME CONTROL AND PARTICIPATION MODALITIES

  1. Although TRANSPYR GRAN RAID MTB is a personal endurance challenge event, the organization shall have a timekeeping system for the timed section of each stage so that the participants can check their strength and skills. Where this is possible, the timed section of each stage will be representative of the route in general or the specific stage.
  2. A penalty system will be established, determining if a participant can remain eligible to be FINISHER and even if you can continue taking part in TRANSPYR 2017 according to the importance of these penalties. The table of penalties will be published before the race starts to the knowledge of all participants. However, new penalties or modification of existing ones are possible under decision of the organization.  When a stage is over, the organization will publish a list of arrived participants and time spent, indicating modality, status – Finisher or No Finisher, and if they make penalties. If for any reason the timekeeping system fails, wholly or partly , the organization will decide at its discretion to apply the solution and it can be used the track logged in the GPS device of each participant.
  3. Any team that has undergone a change, even for temporary abandonment of one of its members, will lose the right to be considered official Transpyr team, going to feature as individual participants. Provided they meet the requirements for it, they may be Transpyr finisher.

If a team of three members lose one of its participants, it will not be considered official Transpyr team anymore, but two individual participants.

Every participant of a team who wants to continue in the event individually will have to be provided with the geo localization device offered by the organisation and pay the estimated amount for it. Transpyr insists in the recommendation to ride in groups with other participants and never alone.

FOOD STATIONS AND CONTROLS

  1. The organization will provide aid stations conveniently positioned during each stage. The participants will know in advance the products offered in the food stations so that they could take some supplements if they consider it necessary. The organisation can decide to complete this food stations on the route with a basic nutrition bag for the first part.

In the evening, before the briefing for the next stage, the participants will be provided with a carbohydrate based meal also known as Pasta Party. On arrival at the very last day this meal can be changed into a final celebration event.

The organization cannot guarantee that this meal is sufficient for the needs of every and each of the participant.

  1. The organization will establish controls points along the route of each stage. Generally there will be a control point located in the same place of the aid stations, this is 2. There may be additional check points some of them at unknown locations.

Departure and Arrival of each stage play the role of control points.

  1. Participants must reach the checkpoints within the time limits set by the organizers. The organization will set an indicative maximum time for the passage of the participants as a guide, which will be as optimistic and flexible as possible. If a team reaches later of the time limit, they must follow the instructions of the organization, agreed in conjunction with the sport director. According to different circumstances (capacity and condition team members, weather, travel features remaining etc.), the organization may require the particiapnts to be transported to the finish of that stage. Participants will be allowed to start next stage but will no longer be classified as FINISHER Transpyr 2017. In the final checkpoint, the time limit set by the organization should be considered as closing time: namely, that for security reasons the teams or participants arriving after this time limit must be transported to the finish of that stage with their route card being taken by the organization until the next day. Participants will be allowed to start next stage but will no longer be classified as a FINISHER Transpyr.

Finally, the organization may set a time limit at the finish line of each stage. Participants who arrive after this finish line time limit may continue the route next day but will not be eligible to be FINISHER of TRANSPYR 2017.

  1. In the case of last point, the organization is not liable for any participant riding on their own risk without route card.
  2. The closure team (cyclists from the organization) follows the last participants through the same route and respects the established time limits for each control. In the case that all teams arrive at a certain food station – control before time limit, the food station will be dismantled and the march will proceed towards the next control.
  3. In the event that an extraordinary cause (e.g. mechanical breakdown of a very fast participant at the beginning of a stage) a participating team decides to let pass for the closure team, this participants will be considered out of control and evolve at their own risk. If this participant can recover and is able to meet the maximum hours of the 2 time controls and credits the course established by the organization, will be opting for TRANSPYR FINISHER 2017.

PARTIAL OR COMPLETE WITHDRAWAL

  1. If a team member is unable to continue for any reason, and the second and or third member decide to continue, this ones will have to adquire the geo-localization device provided by the organisation and pay the required amount for it. She/he is suggested, anyway, to ride in group and never alone. This participants will may be eligible for FINISHER in TRANSPYR GRAN RAID 2017 but will appear to all purposes and for the rest of the event as individual participant.

42. The participant that have abandoned, may continue to bike further stages as NO FINISHER and even to complete the event with either the same team or another team. In that case, the organization is not obliged to transport him/her from stage to stage. If this participant wants to continue as individual, he/she will have to adquire the geo localization device provided by the organisation and pay the required amount for it. Transpyr insists to ride in group with other participants and never alone. 42 Participants who are still in the event as NO FINISHER and arrive at any check point after the last Finisher participant (rider in the event), will be retired from this stage and transported to the finish area.

  1. Participants who leave the stage at any point must notify the organization as soon as possible and arrange for their route card to be delivered to the organizers. Failure to do so will activate a search and rescue. If the participant does not advise of their withdrawal he/she will be charged with the costs of this rescue.
  2. The participant who leave definitely TRANSPYR 2017 must inform the RACE OFFICE.
  3. The organization may require participants who they consider not to be in a proper condition or unable to meet the time cuts, to withdraw from the event. If the organization is forced to withdraw a participant from the event for failure to comply with the rules, it will not be required to provide any service, transportation or refund..
  4. For reasons of logistics and liability, the organization cannot take care of moving participants from one stage to the other.

FINISHER

  1. To be classed as a finisher of TRANSPYR GRAN RAID 2017 the teams and individual participants will have to show evidence of attendance at each checkpoint within the time limits established by the organizers, and completion of each stage along the designated route. It is therefore essential to record the track of the event with the GPS device, so the organization can prove it.

APPEALS AND THE JURY

  1. Each participant has an opportunity to raise an objection in case of a perceived breach of rules by other participants or to enter a caveat against decisions of the race and course director up to one hour after the finish time limit. Such objections have to be made in person in the race office and require the naming of (a) witness (es). A jury of three adjudicators (sports director, event organizer and another member from the organizing committee) will consult on the issue of appeal and make a decision within 24 hours.The appeals fee is EUR 50. It will not be reimbursed if the appeal fails. The aforementioned contraventions, which may be reprimanded by the organisation, provide only an incomplete rundown of other possible offenses that may be penalized.

RESPONSIBILITY

  1. The organization is not responsible for any circumstances which may be caused by or suffered by participants during the course of training for the event and the event itself.
  2. The participant is solely responsible for their own behaviour and conduct, assuming the risk, even against third parties, which might involve the act of participating in this event, both physical effort, mental, such as falls or other injuries, therefore exempts the organizer as well as any sponsor or contributor of the responsibility for all types of accident, incident, injury or eventuality which may arise due to participation in TRANSPYR 2017.
  3. In the event of an accident, participants and accompanying persons individually undertake its responsibility from all points of view (economic, civil and criminal). The organisation recommend an insurance that cover this eventuality.
  4. Participants authorize organizers to make free use of their image for the promotion and advertising of the event in all forms (radio, print, video, photo, DVD, Internet, posters, media, etc.) without the right to receive any compensation.
  5. The organizers reserve the right to modify these rules, travel, supplies, mileage and the event date if deemed necessary and / or for reasons of major force. The information will be given through the official website (www.transpyr.com) by attachments.
  6. In the case that the minimum number of participants is not reached, the organization may cancel the event. In this circumstance the full amount of the registration fee would be refunded. The organization may propose an alternative format as another event to participants already registered.
  7. At the time of registration before the start of the event, each participant must sign an acceptance of the rules and conditions for the participation at TRANSPYR GRAN RAID 2017, a fact that will mean full acceptance of all its points including any annexes published to date.
